Angel of the Winds Arena is a multi-purpose complex, in Everett, Washington, designed and developed by the Everett Public Facilities District.     The Premium Seating & Partnerships Coordinator will assist the Spectra Partnerships team in the servicing and retention of all current and future Club, Premium Seating, Suite, and Advertising clients at Angel Of The Winds Arena in Everett, WA. The Coordinator is responsible for timely and accurately processing all ticket orders/payments for Premium Seating clients. The position will oversee logistics with in-house building partners to ensure exceptional service for our premium/group clients in all areas of their visit. This position will also oversee the contracting, fulfillment, and tracking of advertising agreements. Additionally they will assist in prospecting new business clients and sales opportunities for Premium Seating areas, sponsorships, and partnerships.

    Responsibilities

    • Act as representative of the Spectra Partnerships team for all current premium seating accounts
    • Assist in overseeing premium seating areas during events at the arena
    • Coordinate VIP will-call for all events and ensure smooth distribution of tickets
    • Building liaison between all premium seating clients and Spectra Food Services & Hospitality personnel
    • Responsible for creating and sending event announcements to premium seating clients
    • Process all ticket orders and payments for premium seating clients in an accurate and timely manner
    • Facilitate distribution of event tickets to premium seating clients; as well as season tickets coordination/distribution for in-house tenants (Everett Silvertips)
    • Pursue and book suite rentals, process payments and provide information regarding upcoming rental opportunities to the rental contact list
    • Assist in new client prospecting for both premium seating and corporate sponsorship
    • Create and administer contracts as directed for all department clients
    • Summarize advertising deal requirements on compliance forms and share with relevant in-house building partners
    • Work with advertising partners and sign companies or otherwise along with in-house building partners to fulfill all sponsorship contracted assets
    • Update Sales Tracker with all contracted business
    • Track and monitor client relationships with CRM
    • Maintain list of available sponsorship inventory
    • Follow up with department clients on outstanding accounts
    • Manage and appropriately file all department data flow
    • Track usage of all department tickets and suites
    • Communicate problems and propose solutions to the Director of Partnership Sales for proficient client servicing
    • Submits regular activity reports and performs related duties as required
    • Develop and maintain productive relationships with both established clients and foster relationships with prospective and new clients
    • Create and maintain Premium Seating files, handbooks, and templates
    • Exercise discretion and utilize independent decision making during events that will best represent Angel Of The Winds Arena and serve the client
    • Provide excellent customer service assistance to internal/external clients and exemplify the mission and ethics of Spectra Venue Management and Angel Of The Winds Arena
    • Perform other duties as assigned

    Qualifications

    • Graduate of an accredited college or university with major coursework in business administration, communication, analytics, or related field
    • Knowledge of sales techniques and practices
    • Knowledge of analytics and reporting practices
    • Ability to work independently and as part of a team
    • Must be able to communicate clearly and concisely in the English language, both orally and in writing
    • Ability to safely and accurately handle and account for large sums of money
    • Demonstrated ability to work under pressure and handle difficult situations with courtesy and tact when dealing with the public and promoters
    • Excellent computer and data manipulation skills; including software such as Microsoft Office and intermediate to advanced Excel skills highly desired
    • Knowledge of Paciolan Ticketing and Salesforce highly desired.
    • Must be available to work a flexible schedule including long hours, nights, weekends and holidays as needed
    • Excellent communication skills

    Intellectual/Social demands:

    • While performing duties of this job, the employee is continuously asked to multi-task under time constraints. Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. This position also requires frequent use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

    Physical demands:

    • While performing the duties of this job, the employee will frequently operate a computer and other office devices such as calculators, telephones, copy machines, faxes and printers. Employee will frequently move about inside and outside various areas of the facility before/during /after events to interact with internal/external clients and supervise the work of employees during events. Employee must constantly communicate via telephone, email and in-person with others and exchange accurate information. Employee may occasionally be required due to business demands and event operations to lift and/or move up to 25 pounds.

    Work environment:

    • The duties of this position are performed primarily indoors in an office environment. The noise level in the work environment is usually minimal to moderate during non-event days and moderate to loud during event days.
