  • Overview

    The Event Coordinator will manage every aspect of their assigned events from the advance planning stages through the end of the event; occasionally hire, train, schedule part time event staff. Coordinate communication between clients, set-up crews, event staff and delegate assignments; work with client on all needs and be responsible for and ensure overall customer and lessee satisfaction and experience.

     

    This position is based at our Cure Insurance Arena. Over the past two decades, the Arena has hosted international music sensations like Cher, Bruce Springsteen, Shania Twain, Elton John and Luciano Pavarotti; top sports events such as the 2006 NCAA Division I Women's Basketball First and Second Rounds and 2009 NCAA Division I Women's Basketball Trenton Regional; and family-friendly entertainment like the Ringling Bros. and Barnum & Bailey Circus and The Harlem Globetrotters. The Arena has accommodations for up to 10,000 guests for concerts and seating for 9,000 for basketball. Hockey games have room for 8,100 fans.     Responsibilities

    • Function as a liaison between users of the facility and the facility staff
    • Plan, service and supervise large and small events
    • Creates Event Data Sheets for direction to all departments
    • Create event diagrams using Auto CAD
    • Create pre and post meetings with clients as needed
    • Preparing financial estimates for potential business and pre-show estimates
    • Provide leadership for event personnel
    • Analyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives
    • Communicate clearly and concisely in the English language, both orally and in writing
    • Establish and maintain effective and positive working relationships with staff, contractors and facility users
    • Work a flexible schedule, including long nights, early mornings, weekends and holidays as needed
    • Complete all duties with a customer service focus through teamwork and dedication
    • Plan and direct the advancement of event needs
    • Plan and direct the preparation of building to meet the requirements of upcoming events/shows with Operations
    • Ensure accuracy in computing of costs for post-event billing of services and equipment rental charges.
    • Prepares daily event evaluations and critiques
    • Complete post-show event financial estimates and completion of post-show event settlements
    • Recommend and evaluate required event staffing levels
    • Coordinate communication between building staff and show staff during load in and load out
    • Establish and maintain effective working relationships with lessees, employees, county officials, service contractors and patrons/public
    • Investigate and resolve event-related complaints in a professional manner ensuring customer satisfaction
    • Ensure that the facility is cleaned prior to, during and after all events to maintain building appearance and increase customer satisfaction
    • Coordinate with county officials, including police, fire and medical services, event staff and public to ensure security of patrons and events run smoothly
    • Review emergency planning procedures with all events staff for each event
    • Schedule and monitor part-time event staff hours using ADP e-Time, allocate hours to each event worked, edit and approve timecards for all hours worked.
    • Coordinate service needs with Food and Beverage as needed
    • Other duties and responsibilities as assigned by Director of Events.

     

    Supervisory Job Functions:

    Oversee, schedule and manage Event Staff (Ushers) Department. Demonstrate leadership in words and actions, including training, assigning work, performance appraisal and corrective action, addressing issues head on.

     

    Qualifications

    • Bachelor’s degree or better from an accredited college/university with major coursework in facility management, hospitality management, business management, marketing or related field preferred.
    • Strong oral and written communication skills
    • Preferred one (1) year of experience in event management in an arena, stadium, convention center or other multi-purpose public assembly facility
    • Ability to stand and walk for long periods of time, climb stairs and occasionally lift up to 40 lbs.
    • Must have computer skills in Microsoft Office applications and word processing, spreadsheets, database, presentation and Internet software
    • Possession of, or ability to obtain, a current CPR certificate
    • Possession of, or ability to obtain, a valid drivers’ license
    • Knowledge of operational characteristics of events
    • Ability to identify the needs of users of the facility
    • Knowledge of crowd management and control techniques
    • Knowledge of customer service practices
    • Knowledge of principles of supervision and training
    • Demonstrated familiarity with facility use contracts
    • Knowledge of fire and public safety regulations
    • Knowledge of A/V equipment and electronic systems in public assembly facilities
    • Familiarity with terminology used in entertainment settings

    Intellectual/Social demands:

    While performing essential functions of this job, the employee is continuously asked to multi-task under time constraints and with moderate to high pressure situations. Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. Employees in this role will constantly be in leadership role; this requires directing others either verbally or in writing to complete tasks in prescribed time frame.  This position also requires frequent use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

     

    Physical demands:

    While performing the essential functions of this job, the employee will frequently operate a computer and other office devices such as calculators, telephones, copy machines, faxes and printers. Employee will constantly move about inside and outside various areas of the facility before/during/after events to interact with internal/external clients and supervise the work of employees during events.  Employee must constantly communicate via telephone, email and in-person with others and exchange accurate information.  Employee may occasionally be required due to business demands and event operations to lift and/or move up to 25 pounds.

     

    Work environment:

    The duties of this position are performed primarily in doors in an office environment. The noise level in the work environment is usually minimal to moderate during non-event days and moderate-to- loud during event days.
