This position will provide administrative support to all Spectra departments (concessions, catering) at the venue, as well as to the General Manager. Administrative duties may include, but are not limited to assisting with payroll, handling A/P and A/R responsibilities, assuring compliance in hourly employee personnel files, handling basic administrative tasks, scheduling, and general clerical duties. The Manager will be responsible for managing a full range of accounting operations, including A/R, A/P, payroll reporting and GL entries. Perform month end closing work, account reconciliations, and profit statement reporting to management. Safeguard company assets, and provide data and fiscal support to other departments within the company. Given the small size of the Spectra onsite office, it is critical that the Manager have the ability to multi-task, organize and prioritize tasks, and willingly assist Spectra staff where needed. In light of the sometimes seasonal and event-driven nature of our business, the successful incumbent will have the ability to focus on and prioritize the administrative duties that are most critical and time-sensitive. The Manager is responsible for the effective management and running of venue concessions operations including event planning support, scheduling, food preparation and production, inventory, cash control, compliance with alcohol service polices, cleaning, safety, guest service, employee training and supervision, troubleshooting, closing duties, and any other tasks assigned by the GM.


The Manager will provide oversight and resolution responsibility for employee performance issues. The Manager must provide a high level of event oversight, technical proficiency and operational/personnel support to ensure the smooth running of any assigned event. A critical function of the Manager will be to actively mentor, train and help employees and volunteers meet company quality standards, and to promote a positive, enthusiastic and cooperative work environment. The employee must maintain excellent attendance and be available to work a variable event-driven schedule which to evenings and weekends. Open availability, professional presentation, outstanding interpersonal skills, self-direction and strong technical (computer and POS) aptitude required.


  • Ensure proper set-up of all concessions locations prior to doors. Set-up duties may include (but are not
    limited to): verifying opening inventory, assigning duties to concession workers (employee/volunteer),
    ensuring sanitation standards are met, verifying that each location is fully operational, ascertaining
    levels of food production based upon projected guest attendance has been met.
  • Manage and run all venue concessions operations before, during and after the event. Duties include
    staff scheduling, employee check-in, equipment inspection, POS monitoring and troubleshooting, vault
    duties, guest complaint resolution, training, food production, clean-up, post-event reconciliation and
    reporting, and any other duties as assigned by the GM.
  • Willing to cover any open position to assure location is fully operational and company standards
    pertaining to speed of service and guest satisfaction.
  • Complete post-event evaluations, data compilation, tracking of monetary and product shortages,
    generating reports; serves as a resource for POS applications, training, and hardware problems.
  • Ensure work environment is safe and free from harassment or discrimination; immediately address all
    safety concerns, potential hazards, accidents or incidents. Relays safety/health issues to management
  • Provide general office / administrative / accounting support including input of weekly cash and sales reports,
    A/P and A/R data entry, event reporting.
  • Assist with basic payroll functions: compile and process weekly payroll, data entry, timekeeping verification,
    ensure W-4, I-9 forms are complete and on file; maintain employee deductions file.
  • Provide accounting support to company departments. Reconcile sales reports prior to month end postings.
    Oversee document coding. Calculate commissions earned.
  • Collect data from multiple sources and generate reports of Ovations’ event operating results to venue
    management team and the corporate Finance Department. Includes generating P&L’s, franchise season
    reports, catering activity recaps and sales reports. Perform month end closing, reconciliations and entries.
  • Safeguard company assets through close monitoring of accounting procedures; conduct audits as needed.
    Reconcile bank deposits to sales reports, inventory levels, payroll reporting, A/P and A/R activities.
  • Prepare current workbooks containing financial information by event type. Supervise preparation of
    reports by event, and payroll reporting by event types.
  • Provide general office and clerical support: preparation of weekly package to corporate, copying, filing,
    correspondence, telephone inquiries.
  • Handle basic Human Resources functions: personnel file maintenance, answer employee inquiries regarding
    scheduling, facilitate job fairs and new hire orientation, maintain employee training logs, basic report generation, respond to initial unemployment claims, interface with employees regarding basic employment issues.
  • Contact Accounting / Human Resources at the Home Office regarding any accounting, HR, employee relations,
    safety, policy or procedural concerns, and any situation that may result in disciplinary action, in a timely and
    responsible manner.


  • Associate’s degree (A.A.) or equivalent from two-year college or technical school; or six months to one year
    related experience and/or training; or equivalent combination of education and experience.Ability to make sound business/operations decisions (i.e. regarding employee placement, staffing adjustments,
    and/or respond to technical, product or equipment challenges during an event) quickly and under pressure.
  • Thorough understanding of accounting and financial reporting principles and practices.
  • High level of proficiency with computers, Microsoft applications, accounting/payroll/. Experience
    with ADP a plus. Extensive experience preparing spreadsheets and reports.
  • Possess valid Food Handlers certificate and Alcohol Service Permit as required by state & local government.
  • Ability to calculate basic math functions (addition, subtraction, multiplication, division, percentages) as they
    relate to POS cash/credit transactions, cash reconciliation and product inventory.
  • Ability to handle cash accurately and responsibly.
  • Ability to consistently adhere to the highest standards of integrity, professionalism, ethics and confidentiality.

  • Ability to multi-task in a fast-paced, changing, environment. Must work well under pressure of deadlines.

  • Ability and willingness to work extended hours (i.e. evenings, weekends, holidays), as frequently required by
    event or business necessity.
  • Ability to develop and maintain cooperative working relationships with company and business contacts.
